Working with Subledger Accounts

You can add, paste as, protect, edit, or delete a subledger on the Forecasting Detail page.

To watch a training video that explains this process, enroll in the FPS Distributed Forecasting - Forecasting with Subledger Accounts training video course on Jack Henry University. You can also enroll in the Distributed Forecasting in Financial Performance Suite learning plan.

Note: Forecasting with subledgers is only available for what-if models set with the Allow Subledgers option set to Yes.
Subledger accounts let you budget with greater detail than what the forecasting grid provides. Examples of places where forecasting with subtotals is beneficial are when you are working with employee salaries, fixed asset purchases, and travel expenses. You can add subledgers to balance sheet and non-interest income/expense accounts.
  1. Select Forecasting > Detail from the menu.
  2. Select the Account Type that you want to forecast.
  3. Select an Account to work with.
  4. Select a situation for your subledger and follow the corresponding steps.
    Situation Steps
    Adding Subledgers

This option allows you to add subledgers to balance sheets or non-interest/expense accounts.

    1. Select Subledgers Add.

      The Add Subledger page opens.

    2. Enter a Name for the subledger.
    3. Select Protect to protect the subledger, if needed.
    4. Select None or Custom for the Create Formula field.

Select Custom if a formula determines the value of the account. Formulas are entered manually or built using the provided tools to specify and insert each component.

    5. Select Add.

The new subledger appears in the forecast grid as a row, and the selected account becomes a subtotal.

The existing forecasted balance in the selected account becomes the forecasted balance in the first subledger.

    6. Continue adding subledger accounts as necessary.
    Pasting Subledger Information

This option offers a convenient way to add subledgers by pasting in names or titles from a spreadsheet that you are already using.

    1. Copy the text from your spreadsheet that you want to become subledger titles.
    2. Select Subledger > Paste.

The subledgers appear in the forecast grid as rows in alphabetical order. The account that you selected becomes a subtotal.

The existing forecasted balance in the selected account becomes the forecasted balance in the first subledger.

    Protecting Subledgers

This option allows the creator of a subledger to protect their subledgers. It prevents others from viewing and/or changing confidential information.

    1. Select Subledgers > Edit.

      The Edit Subledger page opens.

    2. Select Protect.
    3. Select Add.

When the subledger is protected, a lock appears next to the account name. Other users, including reviewers and administrators, see a total account for all subledgers named Protected Subledgers but not the individual subledgers.

    Editing Subledgers
    CAUTION:
Anyone with access to accounts and organizations with subledgers can edit the subledgers unless they are protected.
    1. Select Subledgers > Edit.

      The Edit Subledger page opens.

    2. Choose to edit the subledger name, protect the subledger, or add a formula.
    3. Select Add.
    Deleting Subledgers
    CAUTION:
Anyone with access to accounts and organizations with subledgers can delete the subledgers unless they are protected.
    1. Select Subledgers > Delete.
    2. Select Delete in the Delete dialog box to confirm that you want to delete the subledger.

The subledger is deleted, along with its balance. The parent account only reflects the sum of balances in the remaining subledgers.
